Case Study - EPI Fire Protection & Seucurity
17 Feb 2023
In 2020 EPI Fire Protection & Security partnered with Kolleno to solve the following challenges:
- Due to the nature of the industry EPI Fire Protection & Security was operating in it was
necessary to decrease the Days Sales Outstanding (DSO6 in order to improve internal
liquidity and to be able to rely on the steady and predictable cash flow.
- The staff was spending too many working hours monitoring the invoice payments dynamics,
contacting the clients and following up.
- EPI Fire Protection & Security has outsourced the credit-control previously, however it was
looking to bring this function in-house3 On the other, hand the company did not want to hire
additional staff to perform this duty.
- EPI Fire Protection & Security knew that some months were better than the others, in terms
of cash flow, however, it did not monitor the repayment reports.
Company description
EPI specializes in testing, maintenance and inspection of fire alarm systems and sprinkler systems
for residential, commercial, industrial and institutional buildings. Since 1991, EPI Fire Protection and
Security has offered quality fire alarm and security services to its clients across the Greater Toronto
Area.
Company objectives
- Reduce the amount of overdue invoices.
- Improve credit control process efficiency.
- Protect their strong and long-standing client relationships.
Main problems
- The construction industry has one of the longest periods between making a sale and getting paid, with a median of 90 days.
- The staff was spending too many working hours monitoring the invoice payments dynamics, contacting the clients and following up.
- The automation tools offered by the accounting software EPI Fire Protection & Security used were too general and did not feel personalized, giving too little intention for clients to pay.
Kolleno Solution
- Cash collection strategies and sequences: consistent multi-channel communication with all debtors through calls, emails and text messages.
- The user-friendly dashboard notifies the user what account to chase first, and offers to create an automated sequence using omnichannel communication.
- Full visibility into clients with outstanding invoices via Kolleno dashboard, based on the debt size, age and customer engagement.
- Monthly late payments recovery reports: full diagnosis of current accounts receivables.
Sending notices is one of the most effective actions to
speed up the collections. When EPI Fire Protection &
Security has introduced automated AR management, the
employees have freed up their time to focus on their core
activities and keep the motivation level up, as chasing
invoices can be stressful for some. Leaving the repetitive
and monotonous tasks to the technology was a great
decision for EPI Fire Protection & Security as it positively
was reflected on their DSO right away, and their
engagement with clients.
